Administrative Assistant

St. Paul UMC, in San Antonio, is seeking an administrative assistant.

POSITION SUMMARY: Responsible for providing administrative and clerical support for the Senior Pastor. Coordinates events and outreach efforts. Maintains communication with the congregation and community. Exhibits a positive Christian spirit through words and actions.

REPORTS TO: Senior Pastor and at the directive of the Senior Pastor.

WORK SCHEDULE: Full-time position. Monday-Friday (9am to 3pm).

SALARY: $20/hour. 30 hours/week.

  • Previous secretarial and administrative experience preferred.

RESPONSIBILITIES:

  • Answers SPUMC phone calls and makes phone calls as directed by pastoral staff.

  • Maintains schedule of appointments for Senior Pastor.

  • Maintains SPUMC master calendar of events. Coordinate church events and volunteer activities.

  • Manages SPUMC correspondence and communications efforts, including general office mail, emails, bulletins, and scheduling.

  • Maintains church records and databases, including attendance, membership, baptismal, marriage, newsletter, special mailing lists, etc.

  • Composes or transcribes correspondence for pastoral staff.

  • Uses computer desktop software to prepare weekly programs, bulletins, communiques, flyers and special program material.

  • Manage SPUMC online and social media presence.

  • Prepares mailouts of bulletins/communiques to sick and shut-ins within the week they are issued.

  • Maintains list of hospitalized church members, special prayer requests, deaths, births and other important events. Mail cards from church as appropriate.

  • Set up Communion appointments and maintain the list of individuals to be visited. Provide three lists to the Pastor and Communion stewards on the last Friday of the month (before first Sunday).

  • Maintains office environment in a clean, neat, professional appearance.

  • Ensures the appearance of the sanctuary is maintained. Ensures pews have sufficient supplies, i.e., giving cards, pens, and Bibles.

  • Purchases, organizes and inventories office supplies. Ensures supply room is neat and orderly.

  • Updates church marquee displays for special events, as required.

  • Receives visitors, answer inquires and provides information in a courteous and professional manner. Ensures confidentiality of relationships and records is maintained.

  • Fosters a welcoming and organized environment for members and visitors.
