Thank you for your interest in scheduling a virtual event (meetings,luncheons,dinners)! This year we are utilizing the Whova event app. This app adds opportunities for our delegates and guests to connect to one another and connect to attend virtual events. Below you will find instructions and helpful information you will need to join us this year.

Please note, while we are using the language “virtual event” or “event” your gathering is not limited to lunch hours. Outside of asking that organizations refrain from scheduling gatherings during plenary or worship sessions, your gathering can be scheduled at any time.

Important Dates

April 15th - Virtual Events can register to be included in Whova
April 30th - Whova App opens to delegates and guests
May 15th - Event Registration Closes
December 31st - Whova App closes

Registration

All virtual events will need a Zoom Meeting link set up before registration. Annual Conference is a very busy time. Because of this, the Technical Ministries team cannot offer Zoom support for Annual Conference events. If your organization does not have its own Zoom account, we suggest reaching out to districts or churches to see if they can sponsor your luncheon on their Zoom account.

To register your organization’s virtual event, fill out the form at the bottom of this page. Conference staff will review the information and verify that your request follows our AC Event Guidelines (see below). Once that verification is made, you will receive an email inviting you to set up your organization as a “speaker” in Whova. Organizations are responsible for setting up their speaker profiles. (We have provided a link below that will guide you through that process.)

Virtual events will be added to the Annual Conference Whova agenda following a specific format. All events will be added to the agenda using this format. We will not be adding a list of virtual gatherings to riotexas.org.

Event Guidelines

Space is provided at Annual Conference, within the tradition of the United Methodist Church, for groups to gather together. These gatherings are to promote the life and ministry of the church. In an effort to accomplish that goal, the following guidelines have been established. These guidelines apply to in-person and virtual Annual Conference gatherings.

Gatherings that represent or support ministries of the United Methodist Church general agencies, Rio Texas Conference, Districts, or local congregations will be given priority.

The Annual Conference is a time of God’s affirmation and reunion. We reserve the right, through our representatives, to deny or to close any gathering that we deem inappropriate. All organizations must use the form below to request their event be added to Whova for Annual Conference 2021.
